Alumni Association
By Laws

 

WHEREAS, The Alumni of the College of Nursing and School of Midwifery City University of Pasay, as an essential member of the City University of Pasay, embrace special responsibility to support the University to accomplish its mission as an academic body;

 

WHEREAS, Because the University holds a special responsibility in uplifting the Pasayeno’s in terms of academics, skill and attitude, the Alumni association focuses on the give-and-take collaboration on educating and maintaining the union of the graduate students and the alma matter.

 

WHEREAS, The Alumni may only efficiently complete these responsibilities by organization and consistent regulation of organizational actions and tasks;

WHEREFORE, We, the Alumni of the City University of Pasay, ordain and promulgate the following constitution.

                                                                                                                    

ARTICLE I
Name and Domicile

 

Section 1. Name

 The Name of this organization shall be the CITY UNIVERSITY OF PASAY COLLEGE OF NURSING AND SCHOOL OF MIDWIFERY ALUMNI ASSOCIATION.

 

Section 2. Office

Located at the 4th floor CUP-CONM, Pasay City General Hospital, Burgos St., Pasay City. This will be the main office of the organization unless otherwise so intended by General Assembly as recommended by the officers and adviser of the Association.

 

ARTICLE II
Mission, Vision, and Motto

 

VISION: The association envisions itself as uniting force of City University of Pasay  College of Nursing and School Midwifery to alumni-student in fulfilling the ultimate goal of the college as world class and value laden health care professional

 

MISSION:

Connect graduate-student in their alma mater, continuing symbiotic relationship for the improvement of both

Accustom the members of the association, reminiscing spiritual values and camaraderie

Support and continue academic development, delivering members to optimum capacity

 

Motto

 

The Motto of the Alumni Association is: “Magnum Opus” – Great Creation

 

ARTICLE III
Membership

 

Section 3.1 Alumni are encouraged to be involved with the Alma Mater as members of the Alumni Association. They do so by participating in the activities, programs, services, committees, and Boards of the Association and the College.

 

Section 3.2 Categories of Membership

 

3.2.1 Regular Members

All those who graduated from College of Nursing and School Midwifery of City University of Pasay

 

3.2.2 Associate Members

They are those who studied in City University of Pasay College of Nursing and School of Midwifery for at least a year but did not graduate and still wish to be identified as CUP-CONM Alumni. She/he must not having been dismissed for misconduct or scholastic deficiency, may become a associate member of the Association

 

3.2.3 Honorary Members 

On nomination of the Board of Directors, a person who has made a significant contribution to the influence or progress of College of Nursing and School of Midwifery may be selected to honorary membership. 

 

ARTICLE IV
Governing Body

 

The Governing Body of the Association shall be the board of directors of the Alumni association.

The board of directors of the Alumni association shall be composed of a President, Vice President, Secretary, Treasurer, Auditor. All board of directors must be college graduates of the City University of Pasay (Regular Alumni Members).

 

The board of directors’ responsibilities include the dynamic promotion of the CUP-CONM and the Association, attendance at all major alumni events, and a concurrent term of office as the Association’s representative.

 

1.    All officers shall hold office for a term of three years and until their successors shall have been duly elected and qualified. However, no member of the Association shall be nominated and elected as a director for more than two consecutive terms.

2.    The Board of Directors shall establish policies and enunciate programs calculated to fulfill the objectives of the Association.

3.    The Board of director have the power to fill in any vacancies in the position at any circumstances (resignation, death etc.)

4.    The nomination of new officer should take place at the college of nursing and school of midwifery PCGH 4th floor building, with the Dean, previous officers and the nominated officers.

5.    The Board of directors have the power to create new associate group / committees for any programs related to the objectives of the alumni, a written documentation / citations is necessary in that matter

6.    The Board of Officers shall hold offices at the CUP-CONM PCGH 4th floor, Pasay city.

7.    The Board of Officers shall hold meetings at least once a month or often as prescribe.

8.     A simple majority of the members in good standing shall constitute a quorum.

9.    A member who has been absent from two (2) consecutive regular meetings shall not be counted among the total number of board members to be used as basis for any information of the last meetings.

10. The Board of officers can terminate any member of the board provided that the member commits a major crime / offense , in that case a votation shall be called under the supervision of the dean.

 

President’s Responsibilities

The President shall be the Chief Executive Officer of the Association and shall be its official spokesperson. The President shall preside at all meetings of the Association, of the Board of officers and at the annual general meeting. The President shall see that the Association runs efficiently. The President shall provide leadership to the profession, to the Board and to the members

Key duties and responsibilities:

 

1.    The President shall be directly responsible for the management of the affairs of the Association.

2.    The President shall see that all the Board’s resolutions are carried out and the President shall sign all documents requiring the President’s signature.

3.    In the event of a tie vote at meetings of the officers of the association, or of the Annual General Meeting, the President will cast the tie-breaking vote.

4.    The President represents the Association in a variety of activities and forum and support the Association and its policies internally and externally.

5.    To enforce adherence to the Association's Constitution and By-laws and assure the integrity of the Board process.

6.    To initiate and lead the Board's process of annual performance review and review financial reports submitted by the auditor and treasurer and to advise the Board of these reports and any necessary actions by the Board;

 

Vice-President’s Responsibilities

The vice president works with the class president and other officers of the association in planning, organizing, and implementing programs/activities directly and by putting in contact with others who share their passions and from whom they can learn and by helping them to understand the support that the association need from them.

Key duties and responsibilities:

 

  1. The Vice-Presidents shall assist the President in the performance of his/her duties.
  2. In the absence or disability of the President, the first Vice-President will become acting President, exercising the powers of the President’s office until the President’s return or the election of a new President. If the first Vice-President is unable to assume this role, then the secretary will become provisional President.
  3. Maintain and promote community outreach with assistance of the Public Relations Officer
  4. The Vice-Presidents will perform such other duties as are assigned to him/her from time to time by the president.

 

The Secretary’s Responsibilities

The Secretary is the custodian of the records of the Association and all of the documents, records and archives of the Association which are kept at CUP-CONM.

Key duties and responsibilities:

 

  1. The Secretary prepares agendas for the meetings of the officers of association and for the Annual General Meeting;
  2. The Secretary gives notice of all regular or special general meetings of the officers of association and the members. The Secretary records the minutes of all such meetings;
  3. The Secretary signs jointly with the President all official documents of the Association;

 

Treasurer’s Responsibilities

The Treasurer is responsible for all funds and securities of the Association and shall see to their deposit in the proper financial institutions as designated by the officers of the association.

Key duties and responsibilities:

 

  1. The Treasurer maintains the accounts, records and books of the Association; the Treasurer makes payments for expenses incurred in the name of the Association.
  2. The Treasurer carries out all the other duties assigned to the office by the Board. Signing authority shall be two of three signatures of the Treasurer, President, and Secretary.

 

Auditor’s Responsibilities

The general responsibilities of an auditor all relate to ensuring financial compliance. The auditor will collect and examine financial records to ensure that they are current and to make sure that the entities abide by pertinent laws and regulations with regard to their finances.

Key duties and responsibilities:

 

  1. The auditor is responsible for preparing reports relating to their findings with regard to the financial stability of the company and proper accounting procedures.
  2. The auditor will also answer any questions directed towards them with regard to their findings.
  3. An auditor is also responsible for completing numerous financial reports and charts. These reports and charts will detail the findings by the auditor.
    The auditor will also need to address any issues regarding the findings that they discovered during their audit. These issues will be discussed by the auditor and numerous parties involved in the audit process.
  4. The auditor will need to detail anything not included with the charts and paperwork as well as answer further questions relating to the findings.
  5. Performing follow-up work as necessary subsequent to the audit.
  6. Conducting an exit review and finalizing the audit file(s), and ensuring that all supporting documentation is properly retained.

 

 

 

PRO’s Responsibilities

PR officer uses all forms of media and communication to build, maintain and manage the reputation of association ranging from public bodies or services and voluntary organizations. They communicate key messages, endorsements in order to establish and maintain goodwill and understanding within the association and between an organization and its public.

Key duties and responsibilities:

 

  1. Creating a profile book of the association and its activities. The book should include names, addresses, email addresses, phone numbers and any other contact information the Public Relations Officer sees fit.  Photographs of the individual would be appropriate as well as a listing of their professional capacities, especially those that could possible benefit for the association. 
    Promoting alumni events through the creation and distribution of flyers, handbills, emails, and other media outlets. 

Serve as public relations contact and promoting harmony within the association and the general public

  1. Organize activities for the Association’s members involving the professional community.
  2. Maintain the alumni facebook presence and create facebook events for every alumni sponsored event.

 

ARTICLE V
Membership Meetings

 

SECTION 1. The members of the Association shall hold a meeting at least once a year during the annual City University of Pasay College of Nursing and School of Midwifery Homecoming and Reunion.

SECTION 2. A special meeting may be called upon the written petition of at least fifty (50) members in good standing or upon a Resolution of the Board of Directors.

ARTICLE VI

Finances

 

6.1 Contributions Graduate students can donate to the organization, either material, financial, voluntary services or Literary works.

Other contributions are solicited from other individual members or Chapters as a group in forms of scholarships fund or other special projects as approved by the Pamantasan

6.2 Fund Raising The Association can perform fund raising activities in any special events of the college as long as it is for the benefit of the school and the Alumni Association, a written proposal should be made one week before the event, and must be approved by the College dean.

 

ARTICLE VI

Amendments

 

Every proposal to amend this Constitution shall be submitted in writing during the annual regular meeting of the Association, when upon receiving the affirmative vote of a majority of the members present, it shall become part of the Constitution.
